How to Add/Delete an Operator

You must be listed in the Operator Preferences as a Software Administrator to add and delete operators.

NOTE: The user names for operators will show on the credit report and Must be unique.

1. Log into the favorite saved in Internet Explorer
2. Click on Bureau Express
3. Click on Operator Preferences
4. There is an option in the top left corner labeled Add Operator, please click on that.
5. Here you may enter in your operator’s information as you see fit.
6. Please be sure to verify the Operator Access Level you wish them to have. Starting from the bottom, each level has the access of the one below plus the abilities described for that access level.

a. Data Entry access: Can only Order reports. They can not work on reports or view reports that have already been ordered.

b. By Operator Code: only allows them to have access to reports they themselves pull through .com, Byte or Calyx Interface. If reports are pulled through any other Loan Origination Software (LOS) system you will need to give them either access to All Reports in order to be able to view/work on reports through the .com system or set their client code to the LOS client code number and give them access by client code. The third option is to make sure their user name for the LOS matches EXACTLY the user name they use to log into Kroll Factual Data.

c. By Client Code makes it so they can only see the reports under the Client Code you assign them in the Operator Client Code area to the right of the Operator Set Up screen. If you use an LOS system that requires it’s own code this is a good option especially if you have set it up so that each of your Loan Officers have their own Client Code AND that if a special code is needed for that LOS that you change their client code in Operator Preferences to match that code.

d. Access to All Reports: this option allows a person to see all reports under all codes you have access to. This is a good selection to use for Processors.

e. Software Administrator: can see all reports under all codes plus has the ability to adjust your Client Preferences, and Add and Delete Operators from the list. This is the person Kroll Factual Data will refer clients to who do not have a user name or access to a report.

7. Caution! Clicking on view and print reports only will make it so a person can NOT order any reports or do Customer Services. Also be aware that setting someone up for Data Entry Only will allow a person to only order reports not view or print.
8. If you have more then one client code then please verify what Client Code you wish to have as the default for that operator to pull their reports from.
9. It is a good idea to give each person the Quick Print Option so that they can print from the Report List directly.
10. When you are done click on submit operator changes in the bottom left hand corner of the screen. Your operator has been added.

To Delete an Operator

1. follow steps 1 through 3
2. click on the persons name you wish to delete. The Operator Set Up screen will show and at the bottom you will see Delete Operator as an option.
3. click on Delete Operator.

6. Select whether or not to include a FICO score, Fraud Search or Bankruptcy score with the repository selection.

Adding and Deleting Borrower/Co-Borrowers

You can remove either borrower or co-borrower at no cost and still have a report that will work through the Automated Underwriting programs. (If you call and have our Customer Service do this for you it will cost and the report will NOT be one that can be used in Automated Underwriting.)

a. You will need to view the report through the .com site and not through your Loan Origination Software. (See above for Viewing Previously Pulled Reports.)

b. Once you have the report in front of you; look to the left hand side where you will see a blue area. Look under the Services area and click on Remove Applicant; then click on Order. This will generate a new Report ID that can then be used in both in the LOS or Automated Underwriting systems. (If you do not have the Add Remove Applicant option you probably have done a Customer Service request on the report already. Please call Technical Support to learn about your options.)

1. You can Add Co-Borrower (not Borrower) to a report without hitting the original borrowers’ credit again. This will only hit the Co-Borrowers Bureaus and will charge for the Co-Borrowers report. Again this is a report that can be used through the Automated Underwriting system which will not be the case if our Customer Service does it. Any time they touch a report it has to change the report ID in a way that shows that it has been touched.
2. You will need to view the report through the .com site and not through your Loan Origination Software. (See above for Viewing Previously Pulled Reports.)
3. Once you have the report in front of you; look to the left hand side where you will see a blue area. Look under the Services area and click on Add Co-Applicant; then click on Order. This will generate a new Report ID that can then be used in both in the LOS or Automated Underwriting systems. (If you do not have the Add Co-Applicant option you probably have done a Customer Service request on the report already. Please call Technical Support to learn about your options.)

Mortgage Only Reports

If you are doing a streamline report then you can pull the normal credit report through our website or your LOS.

1. You will need to view the report through the .com site and not through your Loan Origination Software. (See above for Viewing Previously Pulled Reports.)
2. Once you have the report in front of you; then click in the Services area on the left hand side and select Mortgage Rating. There is NO Cost for this service but it will generate a Customer Service Report that does not go through the Automated Underwriting System.
3. You will now have a list of mortgages only. You choose the mortgages you wish to show on the report by making sure they have a check mark next to them. Click next.
4. This will generate a new report that only has the mortgage showing. (Note that once you have done this process you can not add any Bureaus to that report with out contacting Customer Service.) You will also have the ability to change the report back at no cost by clicking on Mortgage Rating again and checking the box above the next button that says Click Here to Turn Mortgage Rating off.

Adding Tradelines, Verifying Addresses or Employment Verifications.

  1. 1.You will need to view the report through the .com site and not through your Loan Origination Software. (See above for Viewing Previously Pulled Reports.)
  2. While viewing the report on screen, select the Add Data hyperlink. (The Add Data hyperlink can be found on the left-hand side of the screen under the Services section. This section is only available on reports viewed from the factualdata.com site).
  3. When you click on Add Data, a small box appears with your contact information and three options: Add a Trade Line, Add Address Verification, and Add Employment Verification. Verify your information and select the appropriate option.
  4. You will need to put in the Account Name (If you are using a landlord for a trade line then put in the name of the apartment complex or the name of the landlord.) Then either the address or the phone number of the Account, and an Account Number (or the word none if it does not apply)
  5. In the Additional Instructions field, enter all pertinent information (such as need 12 month credit history to show on report or any other things you need to make sure show for this trade line) for the verification request. Click on Submit. This process sends your request to your Kroll Factual Data processing office for completion.
  6. If you need to add another Trade Line then please close the credit report. Go back into your report list. Make sure you have reports set to ALL and you search by either last name only or SSN only. When you see your applicants name highlighted in a green shade (for most computers) and you see (CS) under Tracking, click on that report and repeat the process for adding your Data. You will not need to close the report again to add the rest of your data as you will be in the right report to add all the rest of your data needed.  In most instances, the customer service must be completed within 4 hours or it's free!

Frequently Asked Questions

Logging In to the Website

Q: I'm trying to log in but it's not asking for my user name and password. Instead, it's asking for my first and last name and then for my office code, client code, and password.
A: This happens when you lose your certificate, which is stored on your computer as a cookie. Cookies may be deleted automatically by some virus protection software, or manually by deleting or clearing cookies. Look in your browser window Favorites list. Do you have Kroll Factual Data Login as a favorite? If so, click on this and you will be taken to the log in screen. If not, you will need to download a new certificate.

For instructions on how to download a new certificate, CLICK HERE.

Q: After I entered my user name and password, I get a red box that says, "NO VERIFICATION; YOUR USER NAME AND/OR PASSWORD HAS NOT BEEN VERIFIED".
A: You will receive this message if you've entered an invalid user name and/or password. Most often, it's caused by a typographical error when entering the password. Try going to the top of your IE browser, click on TOOLS> INTERNET OPTIONS> and in the Temporary Internet Files click on SETTINGS and put the dot in Every Visit to the Page. Click OK and OK and try typing in your password again. If you still get the error you will need to call us as we are not allowed for security reasons to give out Passwords via Email.

Q: I received an error that says, "UNABLE TO RETRIEVE A MACHINE CODE FOR THAT OFFICE CODE/CLIENT CODE COMBINATION".
A: This error occurs when incorrect information is entered when attempting to download a certificate. Typically, this is caused by entering an incorrect password (or again, from a typographical error when entering the client code or password). You will have to call us to verify the correct information as we are not allowed to give this information out via email for security reasons.

Printing

Q: I printed the report but the information appears to run off the bottom of one page and onto the next. There are uneven page breaks.
A: Note that there is no information missing from your report, only that the page breaks are uneven. This is actually a well-documented problem with Microsoft Internet Explorer and happens on many web sites. Unfortunately there is not much to be done to fix it. We do not recommend that you Netscape, Mozilla, or AOL as these do not have full functionality with our system. They also have issues with many of the different Interface systems.

Q: My printed reports don't have gray shading on adverse trade lines.
A: From the menu at the top of your browser window (File, Edit, View, Favorites, Tools, and Help), select Tools. From the drop-down list, select Internet Options. This will open a window with several tabs - select the Advanced tab. Scroll down to the Printing settings section. There is only one line under Printing, which is "Print all background colors and images". For shading to appear on a printed report, this option must be selected (there should be a check mark next to it).

Q: My printed reports don't have creditor names on the trade lines.
A: Look for the box called Report ID toward the top, right corner of your printed report. There should be a number in this box, similar to 20610BX00000000. If you don't see a number in the Report ID box, this means your printer is not printing any information that appears blue on the web page. Normally, this is caused by your computer thinking it's printing to a color printer but it's not, or if your color printer is out of blue ink. Our recommendation is to change your default printer settings to print black and white or grayscale.

Online Customer Service

Q: I am trying to order Customer Service on a report but it nothing happens when I click on a trade line.
A: Is the trade line (creditor name) text underlined and in blue on the report you're viewing? If not, that means customer service has already been requested on this report or that you are not authorized to run Customer Service Reports. To request additional customer service items, you'll need to use the Customer Service Report ID. Use the Report List to find the customer service report. If you are not authorized you will need to talk to your software admin person.

Q: How do I order Online Customer Service?
A: While viewing the report on screen, click on the hyperlink of the item to be verified (anything that is blue and underlined). This will open a smaller, window with a list of verification options (i.e. Current Balance, Account History, etc). Select the necessary verification option(s) and click on Submit. The next box has two choices: Finish or More Verification Items. Select whichever is appropriate. The More Verification Items option will take you back to the report. To request more customer service, select another hyperlink. Once you've chosen all necessary hyperlinks, select Finish. You will then be asked to verify your contact information in case we need to contact you or the applicant to complete your request. You will then click next and this process sends your request to your Kroll Factual Data processing office for completion. In most instances, the customer service must be completed within 4 hours or it's free!

Opening PDF Documents

Q: I can not open PDF Documents on the web?
A: You must have the Adobe Acrobat Reader which can be downloaded for free at http://www.adobe.com/products/acrobat/readstep2.html. Just follow the download instructions from the Adobe web site. When the pop up box shows up select the open from current location option and follow the install instructions.

FICO scores

Q:
How do I add a FICO score to the report if it didn't pull the first time?
A: While viewing the report from the Factual Data site on screen, look for the list of hyperlinks on the left-hand side. Under the Services section, select Add Bureau. This will open a small window containing several options for adding a bureau. Select Add/Modify (depending if you have hit the bureau already or not) on the repository files that need the FICO score added and put a check mark in the FICO Score box. Once you've selected the required FICO score, click on Order. The report will refresh on your screen and will now include the Fico scores you were missing.

NOTE: If a FICO score was not requested on the initial request and is added using the above procedure, it will force the repository to be pulled again, which will result in additional bureau charge.

NOTE: If you are using an LOS like Genesis, Encompass, or Contour, and you did not get any FICO’s on a 3 Bureau pull please go back to order new and be sure to check the FICO box in the upper right corner of the request credit screen.

Q: I ordered a report and did not get FICO scores. In the File Variations section it says NO HIT/NO RECORD
A: This means the selected repository has no information on your applicant, and therefore, you will not receive a score on this applicant from this repository. Sometimes this will happen if the clients Name, SSN or Address are spelled/typed wrong or if they have not lived at the address given long enough.

Getting new scores in less then 30 days from your last report

Q. How do I get new scores in less then 30 days from my last report?
A. You would need to first generate a second report so that if you do not like this report as well as your original you will still have that original available to you to use. If you do this process to an original report it will over write all information and will not be able to be retrieved. Pull up the new credit report (It should have zero charges or minimal charges; this would indicate the Bureau were not hit.) Check the File Variations (just below your applicants address generally) to make sure that it has the old date for hitting the Bureaus. Then on the left hand side of the report under Services click on Add Bureau. You will see the bureaus listed. You want to click on re-access in order to get a new report with the exact same FICO/Fraud request as on the original report. Then click on Order. This will give you a new report with the latest score for only those Bureaus you request while still using the same information/scores of those Bureaus you do not click on.

Adding a fraud search to an existing report

Q: How do I get fraud searches to show on all of my reports?
A: The first thing you will need to have been set up with your Sales Representative to be able to pull Fraud Searches. If you are not sure if you have this ability then please call Sales Support at 1-800-929-3400 Option 1 extension 444. Once you have been set up to be able to pull Fraud Searches you will need to set your Client Preferences (You must be a system Administrator to do this.) so that the Fraud you wish to pull is checked. (do this if you are wishing to have Fraud pulled on EVERY REPORT) If you wish to order the fraud search on just one report and were already set up then you will need to pull the report up in the www.factualdata.com report list (see above if you do not know how to do this.) then on the left hand side under Services you will need to click on Add a Bureau. Decide which Bureau you wish to pull your Fraud from (Transunion = HAWK, Equifax = SafeScan, Experian = FACS and Fraud Shield) click on Modify, and then click on Fraud (do NOT un-check your FICO box) and then on Order. This will add a Fraud to an existing report; hits the Bureau’s and can POSSIBLY change that Bureau’s credit score. If you do not want the risk of a new score and your lender is willing you can order a new report in the www.krollfactualdata.com site and order just the one Bureau then click on Mortgage Rating (Make sure your Client Preferences is set to have Frauds show on Mortgage and CS reports) un-check any of the mortgages and you will end up with a report that has no trade lines or scores, only the fraud.
